Position:
Medical Staff Services CoordinatorJob DescriptionUnder direction, obtains information for and maintains credential files and temporary privilege applications for medical staff/practitioners in accordance with applicable state laws, Joint Commission on Accredited Hospital Organizations (JCAHO), Medical Board of California and Kern Medical Staff By-laws.
Coordinates processing of applications and appointments and provides administrative support for medical staff and health professionals.
Monitors compliance with medical staff bylaws, rules, regulations, policies and procedure in addition to applicable federal, state and local regulatory and/or accrediting agencies.
DISTINGUISHING CHARACTERISTICS:
The classification is focused on the credentialing and privileging process associated with the medical staff/practitioners.
Additionally it is responsible for a variety of support activities in the operation of the functions of the Chief Medical Officer.
Essential Functions:
Coordinates credentialing processes of the medical staff and allied health professionals; monitors the proctoring processes to assure compliance with regulatory standards and medical staff requirements.
Prepares agendas and records of various committee meetings; maintains records of medical staff attendance at medical staff meetings; provides administrative support to staff Chairs and medical staff Officers.
Responds to requests for information from assigned legal counsel regarding physician peer review and corresponding corrective actions.
Prepares all necessary letters, minutes, appropriate support documents for Committee action.
Verifies education, employment history, malpractice insurance coverage, licensor, Medicare sanctions, hospital memberships peer references of applicants; utilizes National Practitioners Databank, American Medical Association and state licensing agencies.
Submits applications to Medical Staff Departments Chairs for review and approval; relays recommendations to the Medical Staff Credentials Committee for acceptance or non-acceptance.
Prepares and issues letters of acceptance or non-acceptance to applicants and notifies all hospital divisions; oversees orientation of new medical staff members.
Obtains and maintains current verification of licenses, certificates, education and credentials information related to medical staff/practitioners.
Maintains confidential logs, files, records, bylaws, rules regulations, policy and procedure records in accordance with applicable regulations.
Prepares, distributes and processes reappointment forms; follows-up as necessary issues physician satisfaction assessment questionnaires and responds to physician complaints.
Assigns and monitors hospital computer/dictation access identification numbers for all medical and resident staff members; maintains automated data bases.
Completes special projects, as assigned; composes and prepares correspondence.
Keeps abreast of current laws, regulations, policies, procedures and guidelines as they relate to the medical staff/practitioners credentialing and privileging process.
OTHER FUNCTIONS:
Provides staff support to the Medical Director, as necessary.
May greet the public and assist with hospital meetings and functions, as necessary.
Performs other job related duties as required.
Employment Standards:
Two (2) years of experience performing medical staff credentialing functions or providing administrative support to medical and/or management staff in a healthcare environment or any combination of the above.
Qualifying experience would typically be gained in an acute care hospital, health maintenance organization or managed care facility.
Membership in the California Association of Medical Staff Services and Medical Staff Coordinator certification are highly desirable.
Knowledge of:
JCAHO, California Medical Board and other state and legal requirements and recommendations referencing the credentialing and reappointment process; medical staff by-laws, particularly with reference to the credentialing and reappointment process; business English including spelling, punctuation, grammar, capitalization and vocabulary; modern office methods and procedures, including business correspondence, filing systems, standard machines and office equipment; micro computer operation and a variety of software programs; business arithmetic including percentages and decimals; record keeping principles and practices.
Ability to:
organize workload, set priorities and meet critical deadlines; use initiative and independent judgment within established guidelines; understand and follow oral and written instructions; develop and maintain communication and a professional working relationship with various agencies and institutions, medical staff and a variety of hospital personnel; meet and deal tactfully with the public and others; learn and utilize a variety of software programs such as word processing, spreadsheets, PRIV-PLUS and QPRAC on a micro computer.

Employees must maintain all health requirements designated by Kern Medical;Depending on assignment incumbents may be required to possess and maintain specific certificates of competency as a condition of employment;A background check may be required for this classification.
All Kern Medical employees are designated Disaster Service Workers.
